Refund & Cancellation Policy
How advance payments, cancellations, and refunds are handled.

1. Applicability
This Refund & Cancellation Policy applies to Services engaged through Velorabyte under a written proposal, quotation, or service agreement ("Engagement"). It should be read together with our Terms & Conditions.
2. Advance Payments and Deposits
Engagements typically require an advance payment or deposit before work begins, as specified in the Engagement Terms. This advance secures your project slot and covers initial planning, discovery, and setup work.
3. Cancellation Before Work Begins
If you cancel an Engagement in writing before any work has commenced, you are entitled to a refund of the advance paid, less any documented third-party costs already incurred on your behalf (e.g., domain registration, licensing fees).
4. Cancellation After Work Has Begun
If you cancel an Engagement after work has commenced, fees will be calculated on a pro-rata basis for work completed and hours/milestones delivered up to the date of cancellation, as reasonably assessed by Velorabyte and communicated to the Client. Any balance of the advance beyond work completed will be refunded; any shortfall will be invoiced and due for payment.
5. Non-Refundable Items
The following are non-refundable once incurred: third-party costs paid on the Client's behalf (domains, hosting, software licenses, stock assets, plugins), payment gateway/transaction charges, and fees for milestones that have already been delivered and approved by the Client.
6. Refund Timeline and Method
Approved refunds are processed within 7–14 business days of written confirmation, to the original payment method used, unless otherwise agreed in writing.
7. Quality or Delivery Disputes
If you are dissatisfied with a delivered milestone, please raise the issue in writing within 7 days of delivery so we can address it through revisions as agreed in the Engagement Terms, before any refund request is considered.
8. How to Request a Cancellation or Refund
Email billing@velorabyte.com with your project/invoice reference and the reason for your request. We aim to acknowledge all requests within 2 business days and resolve them within 30 days.
9. Changes to this Policy
We may update this Policy from time to time; the version in effect at the time an Engagement is signed will govern that Engagement.
